Introduction

Discord Report Bot ("the Bot", "we", "us", "our") is a Discord bot and web dashboard service that collects daily reports from team members. This Privacy Policy explains how we collect, use, and protect your information when you use the Bot and its associated web dashboard.

Information We Collect

When you use Discord Report Bot, we collect and store the following information:

• Discord User ID — Your unique Discord identifier, used to associate reports with your account.
• Discord Username — Your display name, shown in the dashboard for identification.
• Server (Guild) ID — The Discord server identifier where the Bot is installed.
• Report Content — The text of daily reports you submit via /report command.
• Anonymous Report Content — Reports submitted via /anon. These are stored without any identifying information.
• Timestamps — When reports are submitted.
• Server Settings — Configuration data such as reminder times, report channels, and role settings.

How We Use Your Information

• Display submitted reports on the web dashboard for admins
• Track which team members have or have not submitted reports
• Send scheduled reminders and follow-up notifications
• Generate leaderboard data based on submission history
• Allow CSV export of report data for authorized admins

Anonymous Reports

When you use the /anon command, your report content is stored without any connection to your Discord User ID or username. We have no way to trace anonymous reports back to individual users. Anonymous reports are visible to server admins but do not display any author information.

Data Storage

Your data is stored in Firebase Firestore, a cloud database provided by Google. Data is encrypted in transit and at rest using Google's infrastructure security. We do not sell, rent, or share your data with third parties.

Data Retention

Report data is retained for as long as the Bot remains installed in your Discord server. When the Bot is removed from a server, associated data may be retained for up to 30 days before deletion. You may request earlier deletion by contacting us.

Third-Party Services

We use the following third-party services:

• Discord API — For bot functionality and authentication

Children's Privacy

Discord Report Bot is not intended for use by individuals under the age of 13, consistent with Discord's own Terms of Service. We do not knowingly collect information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the Bot after changes constitutes acceptance of the updated policy.
